Your contribution to TenneT
As the Document Manager you are responsible for defining and implementing documentation management routines in order to ensure full transparency, traceability and control of information specifically in supporting the use and development of ThinkProject within the business. This includes setting up all process, administrative and documentation requirements, processes and systems for the first projects.
It is your job to design and implement relevant document and information control systems and procedures, in order to ensure timely and full control on documentation streams. Your daily work will exist of supporting the development of document management processes, implementing ThinkProject by e.g. trainings, developing ad-hoc work arounds and most importantly, support the technical teams in application of the document management process. Your experience in former organizations and projects will help you, but extensive alignment within the TenneT organization with similar projects and complying with and improving existing frameworks is of high importance.
Your contribution to TenneT - Role / responsibility:
- Ensures that the highest level of quality is met in all documentation flows in the relevant DMS and define, implement and execute TenneT contractual documentation procedures and - specifications or the project (e.g. FIDIC).
- Aligns pro-actively with counterparts at contractors, internal colleague's, experts, teams within Large Project Offshore and other departments within TenneT.
- Signals system improvements and contacts application responsible(s) to implement possible enhancements to the system, also register and implement lessons learned to realize continuous improvement.
- Establish Project internal documentation filing based on the TenneT specifications and the project-specific requirements.
- Ensure quality assurance in the received documents and coordination of document filing (e.g. Ensure meta data and distribution is correct).
- Training Coordination and, if necessary, carrying out or organizing training for management and document controllers in the project with respect to the DMS.
- Provides reports and guards the contractual review times and ensures the correct follow-up of internal deadlines for document review.
- Preparation and processing of documentation for the adoption by the operation.
- Control and manage the process of the final handover documentation (based on TenneT specification) and in concordance with relevant stakeholders.
- Preparation of figures and statistics for the (project) management (reporting).
- You contribute actively to a safe working environment for yourself, your colleagues and contractors.
Your profile and background
Our ideal candidate has proven knowledge and experience (3 years +) of organizing documentation and information streams in complex project organizations preferable in the infrastructural/offshore field. You recognize yourself in this profile:
• Have good communication skills and are able to organize and schedule activities well.
• Show initiative, you are analytic, sensitive, aware of different interest and capable of balanced judgment.
• Able to present yourself towards internal and external stakeholders.
• Dynamic, enthusiastic, intrinsically motivated person, you take your responsibility and ownership (committed).
• Able to operationally manage and give direction to a team of documentation specialists in Arnhem.
• Knowledge in one or more document management systems.
• Experience with SharePoint is a must. Experience with ThinkProject is an advantage.
• Excellent knowledge of MS Office products (Word, Excel, PowerPoint).
• Fluent in English, both verbally and in writing. Fluent in Dutch is an advantage.
• You live in the Netherlands.
